Executive Assistant | Event Coordinator

  • Responsible for the office and administrative support of the Senior Managing Director, 5 Managing Directors, 44

    personnel in the Irvine office and 22 personnel off site.

  • Conduct HR responsibilities setting up interviews, reimbursing interviewee travel costs, onboarding/out-processing

    personnel, ordering IT services and software applications such as Salesforce, Siebel, Moody’s account, My Accounts, and prepared a high volume of domestic and international travel arrangements, orders and process travel vouchers accordingly.

  • Process new hire information, transfers and terminations using Oracle.

  • Research employee issues with regards to payroll and benefit questions by contacting appropriate department and

    reviewing the company handbook, SOP and policies and disseminating the information.

  • Perform accounts payable duties administering live check processing from customers, adding new suppliers through

    Aravo to make payments electronically and reconciling daily invoice charges made on the Purchasing card and

    through Oracle.

  • Spearhead GE hosted events such as Veterans Appreciation Day, thanking our Veterans for their service to our

    country and GE Capital, helping to lead United Way, a nonprofit organization that partners with other nonprofit agencies to improve lives by focusing on the building blocks for a good life: education, income and health, and The Susan G. Komen Race for the Cure that raises awareness and donations fueling the best science and making the biggest impact in the fight against breast cancer.

  • Organize and plan the annual Aerospace and Defense event, sending invites, coordinating logistics and, site maps, tracking RSVPs, procuring equipment needed to host the event, security badges, compiling information being presented, catering , gifts and reconciling charges for a successful event.

  • Selected to serve as the Executive Administrative Manager to the Deputy for Acquisition and Systems Management (politically appointed two star general) and maintained exclusive control over his schedule ensuring all pertinent information was obtained and logistics were coordinated.

  • Assisted over 160 personnel, the largest division within ASAALT, processing their Officer Evaluation Reports, leave, personnel and finance actions.

  • Effectively managed incoming correspondence and requests from Congress, politically appointed officials, reporters, general counsel and fellow military personnel filtering what needed to be seen or approved by the General and his staff.

  • Drafted correspondence from the General to senior government officials, senior leaders, Soldiers and civilian personnel.

  • Interfaced directly with stakeholders, Congressional staffers, senior members of Industry/government, VIPs and local/foreign dignitaries.

  • Assigned the critical role of ensuring Officer Evaluation Reports that are used for an Officers promotion were formatted and processed correctly.

  • Initiated and implemented an administrative standing operating procedure that was in accordance with Office

    Secretary of Defense standards and helped to ensure actions were tracked in a comprehensive and timely manner.

  • Maintained exclusive control over the Assistant Secretary of the Army (ALT) and Lieutenant Generals schedules.

  • Tracked and processed over 5000 Congressional inquiries/investigations for the Office Secretary of Defense, Joint

    Staff and Head Quarters Department of the Army annually.

  • Performed as a liaison between the Assistant Secretary of the Army (ALT) office, Acquisition Support Center, Joint

    Program Office and Program Executive Offices providing administrative support to over 650 personnel.

  • Generated and processed more than 1800 personnel actions annually, to include Officer and Non Commissioned

    Officer evaluations and orientation/separation related requirements.

  • Prepared civilian and military aircraft travel and arrangements using DoD guidelines and accompanied Executives on

    travel, domestic and international.

  • Trained three Sergeants on procedures for acquiring and maintaining daily accountability report for over 600

    Soldiers, civilians and contractors and implementing administrative policies and procedures.
